Learn how to submit proposals and invoices and receive payment for projects completed through the Kajabi Experts marketplace.

Submitting a proposal

A good project proposal should clearly outline the scope of the project work, the timeline and submission date for each deliverable, the cost and payment terms, and the invoice and payment due date(s).

The proposal should also address what will happen if the client later requests any changes to the scope of the project. Learn more about best practices for collaborating with a Kajabi Hero.

Here's how the proposal process works on Kajabi Experts:

  • Client creates a project brief on the Kajabi Experts marketplace.
  • Project is matched with the best-fit experts.
  • Experts contact the client through the platform to discuss project details.
  • Upon mutual agreement of a match, the expert submits a proposal.
  • Client chooses to accept (or not to accept) the proposal.

To submit a project proposal:

  • Click into the project from your Kajabi Experts dashboard.
  • Then, click to open your Messages.
  • Click Submit proposal at the top right of the messaging interface:

  • Enter the total price, estimated completion date, and a detailed description of the scope of work.
  • Click Submit to send your proposal:

When the client accepts your proposal, the project is activated and you are committed to completing the agreed-upon scope of work.


Sending an invoice

Invoices are the vehicle for submitting and receiving project payments. Once a client accepts your proposal, you can send them invoices through the platform as needed. You’ll now see a Submit invoice button at the top right of the messaging interface instead of the Submit proposal button.

The timing of invoices and payments should be agreed upon with the client in advance and written into your proposal. Learn more about how to have a successful project.

To receive payment for your project:

  • Click into the project from your Kajabi Experts dashboard.
  • Then, click to open your Messages.
  • Click Submit invoice at the top right of the messaging interface:

  • Enter the amount, payment due date, and a description of the deliverables.
  • Click Submit to send your invoice:

Receiving payment

Your client will be notified of your invoice submission. Upon accepting the invoice, they’ll receive an email from Kajabi with a payment link.

Kajabi will process the payment transaction, deduct a commission fee based on your selected plan (either 10% or 0%), and send the remainder of the payment to your PayPal account. Payments are typically received within a day or two, but can take up to 10 days.
