Before starting a project
1. Clearly convey your vision and goals
Keep in mind that an expert you’ve not worked with before isn’t familiar with your business or your goals. When posting a project to the Experts Marketplace, include as many links as possible (website, social media, other sites or images you want to use as inspiration to bring your own vision to life, etc.) showcasing what your business is all about.
Describe your vision and goals for the project in as much detail as you can. It’s OK to use outside links or resources to help you show the expert exactly what you’re looking for in your end result.
2. Understand what to expect during your project
Don’t accept a vague project proposal. The expert’s proposal should clearly state exactly what’s included in the project. For example, if the expert will be creating a website for you, their proposal should specify how many pages they’ll build, what type of pages (Home Page, Library Page, etc.), to what extent they’ll modify the page template designs and how, the amount of text content they’ll provide, the number of images, etc.
There should also be clear expectations for the timing of all communications, deliverables, and invoices. Ask what will be covered in each project update. It should be crystal clear what you’ll be getting, when you’ll be getting it, and how you’ll be getting it.
3. Consider what you’ll need to provide
The expert will need certain things from you to start the project. Will they need access to applications or files outside of Kajabi? What assets will you need to provide before they can start? Will they need image assets, like a company logo or a headshot? What about audio or video assets? Custom font files? A certain type of data? Financial records?
For example, if you want to hire a web designer, make sure the initial content they’ll need from you to design each page is ready for them. If you need help creating that initial content, consider starting with a content development project first and hiring someone to assist you with content creation and strategy.
Make a list of what’s needed for the project in advance and add these assets to Dropbox, Google Drive, or another site that allows you to share access to the files easily once the project begins.
Also consider what level of access the expert will need to your account and give them the lowest level of access necessary to complete the project work. We recommend that you assign an expert who will be working in your Kajabi account the Assistant role. Provide the expert with their own account login credentials. Never share your personal username and password.
During the project
1. Keep all communications on-platform
Keep all of your communications on the Experts Marketplace platform. Corresponding solely via the Experts Marketplace creates a single, comprehensive record of your project communications, reduces risk, and helps Kajabi mediate in the case of a dispute. This is a requirement in order to keep both your Experts Marketplace account and the expert’s account in good standing.
2. Have a structured communication plan
Set a regular schedule for receiving progress updates and providing feedback. Depending on the length and scope of your project, this could be a daily update, a weekly update, or a bi-weekly update. Choose the timeframe that best meets your needs, but don’t overlook this important step. Ad-hoc communications can easily devolve into miscommunications and misunderstandings.
Discuss in advance what type of content the expert will provide in the project updates. Also clarify the expected timing and mechanism you’ll use to provide your feedback.
3. Pay invoices on time
Specify the timing of the project invoices up front and always pay invoices on time. Be sure to clarify the due dates for payments with your expert, as well as what will happen if a payment is late. Submitting payments promptly will help every aspect of your project run smoothly.
When your project ends
1. Carefully review the final deliverables
Before you close out the project, make sure you know where to find each deliverable your expert has completed. Conduct a careful review of everything you’ve received to verify that it meets the requirements you agreed on at the beginning of the project. If a final invoice is due at the end of the project, examine the deliverables prior to submitting your payment.

2. Give the expert a rating and review
When a project is marked complete, both the client and the expert are prompted to give the other a rating and review in the Experts Marketplace. Your review of the expert will be posted to their profile. Leave an honest and detailed review. The information you share will help other Kajabi Heroes know if the expert will be the right fit for their project.
3. Suspend the expert’s account access
Remember to suspend the expert’s access to your Kajabi account (and any other accounts or files) once you’re done. It’s easy to forget this important step. Removing any unnecessary access after the project will help protect both you and the expert from hackers and other potential data security breaches.
